Hootico is a brand of Employers’ Risk Management Association, LLC. This policy explains what information we collect when you request a workers’ compensation quote or buy a policy through Hootico, how we use it, and the choices you have.
To quote and issue insurance we collect information you give us directly: your name, business name, email address, phone number, business and mailing address, Federal Employer Identification Number (FEIN), entity type, years in business, employee counts, payroll amounts, job classifications, prior insurance and claims history, and answers to underwriting questions.
When you pay, card details are collected and processed by Stripe. We never see or store your full card number — we retain only the card brand, last four digits, and a payment reference so we can show you a receipt.
We also collect basic technical information automatically, such as IP address, browser type and pages visited, to operate and secure the site.
We use your information to prepare quotes, submit applications to insurance carriers, issue and service policies, produce certificates of insurance, take payment, provide customer support, meet legal and regulatory obligations, and prevent fraud.
We share your information with insurance carriers and their underwriters in order to quote and bind your policy — principally AmTrust Financial Services and its affiliated insurers. We also use service providers who act on our instructions: Stripe for payments, Amazon Web Services for email delivery and hosting, and Telnyx for text messaging.
We do not sell your personal information, and we do not share it with third parties for their own marketing.
We may disclose information where required by law, regulation, subpoena, or to a state insurance regulator.
If you provide a mobile number and check the SMS consent box, we may send you text messages about your own quote and policy — reminders to finish a quote you started, payment confirmations, notices that your policy is active and your certificate is ready, and premium payment reminders.
Consent to receive text messages is not a condition of purchasing insurance. Message frequency varies. Message and data rates may apply. Reply STOP to any message to opt out at any time, or HELP for help. You can also call us on (386) 272-0228.
We do not share mobile numbers or SMS consent with third parties or affiliates for marketing purposes.
We send transactional email — quotes, receipts, policy documents and service notices — to the address you give us. These relate to your policy and are not marketing.
We keep application, policy and payment records for as long as required by insurance recordkeeping and tax rules, which is generally at least seven years after a policy ends.
Traffic to this site is encrypted in transit. Access to customer records is restricted to staff who need it. No system is perfectly secure, so we encourage you to use a strong, unique password for your account.
You can ask us for a copy of the personal information we hold about you, ask us to correct it, or ask us to delete it where we are not required to keep it. Hootico is a commercial insurance service for businesses and is not directed to anyone under 18. We do not knowingly collect information from children.
If we change this policy we will update the date at the top of this page and, where the change is significant, tell you by email.
